$20.81 - $25.29 per hour

 

POSITION SUMMARY:

Provides technical and operational support to the superintendent. Prepares written technical and public relations communications in a variety of formats. Manages assigned community relations and assists in the coordination of the administrative office.

 

PRIMARY DUTIES/RESPONSIBILITIES:

  • Serves as a resource on District and board resolutions, practices, procedures, and administrative functions.
  • Maintains superintendent's calendar and schedules appointments and conferences. Keeps superintendent informed of commitments and deadlines. Makes travel arrangements as necessary.
  • Formats, processes, edits and proofreads correspondence, reports, memoranda, evaluations and other documents from verbal instructions, electronic or handwritten drafts. Initiates and composes correspondence and memoranda.
  • Assists the superintendent in preparing agenda and background information for school board meetings. Attends school board meetings for the purpose of taking minutes and transcribing notes for editing and approval by the superintendent. Maintains permanent file of School Board materials.
  • Assists school board members with research, correspondence, travel and provides other assistance as needed.
  • Prepares news releases for media regarding activities, meetings, hearings or other events and legal notices as required by law.
  • Compiles regular reports, such as monthly and annual enrollment of all schools and submits reports to appropriate agencies. Creates school/district reports as necessary.
  • Works collaboratively with superintendent and district administrators to keep policies current. Drafts and prepares new policies or revisions of policies and procedures and distributes after board approval. Provides support to administrators and staff in research of board policy.
  • Functions as a member of the negotiation team, assists with contract language, and maintains negotiation records and files. Keeps abreast of current contractual language.
  • Monitors public works contracts to see that required documentation complies with state regulations and board policy. Prepares bid specifications, tabulates results and submits recommendations to business manager for approval before submitting to school board.
  • Keeps Small Works Roster current; coordinates implementation between maintenance and accounts payable.
  • Prepares district newsletter and activities calendar for publication and other district communications.
  • Coordinates and completes special projects as assigned by the superintendent and school board.

 

QUALIFICATIONS:

Education/Experience:

  • High school diploma or equivalent with two years formal training beyond high school.
  • Five years increasingly responsible successful experience as an executive assistant or office manager position.
  • Alternative combinations of advanced training and experience may be substituted.
  • Previous experience in an educational setting preferred.

 

Knowledge/Skills/Abilities:

  • Knowledge of administrative office management in an educational related setting.
  • Excellent keyboarding and computer skills with experience in a variety of software programs, including word processing, spreadsheets and desktop publishing.
  • Knowledge of correct grammar, spelling and English usage with excellent writing skills.
  • Knowledge and experience of principles of professional business letter writing, report writing, technical writing and minute taking. Ability to compose routine and complex reports and correspondence and public relations communications
  • Ability to establish and maintain effective relationships with public, staff and students in a positive and professional manner. Possess effective interpersonal skills and ability to work in a team environment.
  • Ability to communicate clearly, logically and effectively in both oral and written communication.
  • Ability to work effectively under pressure and with frequent interruptions.
  • Ability to organize and set priorities and meet deadlines.
  • Ability to maintain a high level of confidentiality.
