Facilities & Rental Updates for 2025-2027

Beginning January 1st, 2026, the District will implement an increase in rental fees for the use of school facilities. This adjustment is necessary to offset rising costs in utilities, custodial services, and general maintenance required to keep our facilities safe, clean and accessible for all. These rates will be spread over a two year period, 2025-26 School Year and 2026-27 School Year.

Seasonal Request Deadlines

To support effective planning and scheduling, all facility use requests must be submitted by the following deadlines:

• Fall Season (August–November): Requests due no later than July 1
• Winter Season (December–March):  Requests due no later than October 1
• Spring Season (April–July):  Requests due no later than February 1

Requests received after these deadlines may be declined or accommodated only if space remains available.

Request and Approval Process

• All groups are required to submit a facility use request through the district’s designated process.
• Requests are not considered approved until written confirmation is issued by the district.
• Additional documentation, including proof of insurance, may be required prior to approval.
• Prior or ongoing use does not guarantee approval of future requests.

Please submit your request in writing using the designated form and include all required insurance documentation. Incomplete submissions will not be reviewed. Submit all requests to Doug Farmer - dfarmer@asd5.org and Courtney Sandstrom - csandstrom@asd5.org

Insurance Requirements

• A current Certificate of Liability Insurance (COI) must be provided.
• The Certificate Holder must be listed as:
  Aberdeen School District
  216 N. G. St
  Aberdeen, WA 98520

Coverage Minimums

• Private nonprofit youth organizations: $50,000 per occurrence / $100,000 aggregate for bodily injury (per Chapter 28A.335 RCW)
• For-profit organizations: $1,000,000 per occurrence in general liability coverage

The Aberdeen School District must be named as an additional insured on the policy. Coverage may not be canceled or materially reduced without at least thirty (30) days’ prior written notice to the district.
